Intermittent missing Scribe Emails

Hi All. I am chasing a frustrating problem with Scribe module. Some (intermittent) emails are not being sent when VMs are left. Nothing appears in the mail.log file so it is not an email issue. From what I can find the process to transcribe and email just never happens. There have been at least 10-12 reports from my customer from the past 2 weeks and I have confirmed 2 of these instances. The VM is left and the recording exists as normal but no email is sent at all. I have not been able to reproduce this problem yet. I have rolled back the use of Scribe for now because I can’t have no email notifications at all.

FreePBX 17.0.25
Scribe 17.0.5.3, licensed with plenty of usage available.
Extension VMs and emails are correctly configured and work normally most of the time
The system is healthy, running normally. No other issues observed.

Looking for any suggestions or guidance to troubleshoot this. I have opened a case with Sangoma but no response yet.

Quick thoughts of where to check:

  • Scribe log files
  • User/group membership (is Scribe enabled for each level needed ?)
  • Custom Voicemail email template formatting

Hi Chris, I’m not sure I can DM yet since I just created this account. Or I’m just not finding the right buttons… I’m ok positing the case number here unless thats bad practice, let me know on this.

I’ve checked the /var/log/asterisk/scribe.log and I find some messaging but the times never seem to quite line up exactly I have more logs in the case. I’m not sure these messages relate or not:
[2026-01-30 09:18:53] [scribe.DEBUG]: For User unable to find the Call Direction/Recording Type.

I’m confident I have the user/group membership correct and Scribe was enabled. Most emails would go through but some would not with no changes in between. This morning I had one user test 3 times. First fails and next 2 were successful. No changes in config in between. Only difference was dialplan followed to get to the VM. Could identify no pattern. If there is an issue with config its still an intermittent problem.
